Functional features

Management of the pollsters

  • This function is used for the creation, modification or consultation of the pollster records. All the data relating to the pollsters are handled in this file (name, address, telephone number, possible places of work, methods of contact already used, languages spoken, social security number, availability of the pollster, etc.). This module offers searching for all pollsters corresponding to a set of criteria (e.g. all pollsters in the Meuse region who speak German and have a private car), and then publication of the selection, the C.V. and the labels for letters to be sent to the pollsters.

Management of the studies (all the stages of execution of a survey) :

  • Entry of the characteristics of the study: study number, purpose, field supervisor, collection method, number of questionnaires to be completed, number of pollsters provided, scheduling, type and number of quotas, cost of the questionnaires, etc.
  • Printing of the start-up sheet and of the general plan for the studies.
  • Entry of the quotas assigned at the national and regional levels. The quotas can be cross referenced two by two (they are presented in a matrix: 2 criteria in the columns, with a maximum of 49 occurrences, cross referenced with 4 criteria in the lines, with a maximum of 99 occurrences). These quotas are entered from the polling plan. A quota database can be used to store and recall the most frequently used quota structures.
  • Selection of the pollsters: selection assisted by criteria associated with the size of conurbation of the pollster, the usual polling location, etc. Ability to impose a poling location or one of the occurrences of one of the quotas (conurbation size for example).
  • Automatic generation of the quotas attributed to the pollsters from the constraints established by the user at both the general and regional levels. This division of the quotas can also be effected manually in individual cases. It is also possible to effect over-distributions: in this case, the quotas are handled in two different forms: the distributed quotas (those which will be printed on the quota sheets) and the expected quotas (which will be compared to the achieved quotas)
  • Preparation of the dispatch to the pollsters: printing of the quota sheets, the contracts of the pollsters, and the labels (addresses of the pollsters).
  • The dropouts (partial or total defection of a pollster) can be recorded during the study, with a re-assignment of the quotas to another pollster.
  • A telephone report on the current quotas (already compiled by the pollsters but not yet returned) can be entered.
  • Entry of the returns is effected in accordance with the type of study, with or without monitoring of the quotas. In the event of non conformity with specification, the questionnaire can be registered as waiting for validation where appropriate at the end of the study.
  • Monitoring of the quotas can be used to compare the quotas distributed, expected, in progress and achieved, by pollster, by region or for the whole of the study.

Preparation of pay

  • Entry of the returns (questionnaires completed) automatically feeds the module for preparation of the pay elements. The fixed overheads can be calculated automatically. The actual costs are entered independently of the returns, from documents supplied by the pollsters. A number of hours can be entered for payment for briefings of team leaders, etc. Publication of the control documents for the pay elements, by pollster or by study. After the correction of errors, the pay for the month is validated, and a file for interfacing with the pay system is made up.
